Overview

Job Purpose:

 

Provide administrative legal support to the VP, General Counsel and Secretary of Securus.  This position requires the ability to multi-task, be flexible, exhibit accuracy when working with details, and be able to work independently.

Responsibilities

Responsibilities:

 

Support the Legal Department

  • Create and maintain personal and office filing systems.
  • Maintain Board of Director Corporate Minutes Books.
  • Create transaction binders for legal actions, acquisitions, divestitures, etc.
  • Track legal bill accruals and prepare reporting to compare expenditures to the legal budget.
  • Obtain legal budgets from outside counsel.
  • Prepare monthly Legal Report for the Executive Council.

 

Communication –

  • Build rapport with internal employees and outside attorneys and vendors. 
  • Assist others by answering questions appropriately and searching for unknown answers when necessary. Relay messages appropriately and follow-up with employees, customers, and vendors. 
  • Prepare correspondence for the General Counsel and legal department.
  • Maintain confidentiality at all times.
  • Provide occasional phone coverage for the front desk.

 

Calendar –

  • Schedule and coordinate meetings through Outlook with Executive Council, the VP’s direct reports, customers, vendors, and other department leaders. 
  • Utilize problem-solving skills to make calendar adjustments. 
  • Reserve conference rooms and conference phone lines. 
  • Make arrangements for meals and refreshments when necessary. 
  • Communicate meeting information to the appropriate participants.

 

Expense Reports / Invoices

  • Submit expense reports and invoices to accounting department. 
  • Ensure all reports and invoices are accurate and complete.

 

Travel Arrangements

  • Utilize on-line reservation system to coordinate travel arrangements.

 

Qualifications

Skills:

  • Self-starter and who works with little supervision
  • Strong analytical and problem solving skills
  • Strong time management experience
  • Communicates effectively to all levels of management Proficiency with array of office systems
  • Quantitative ability, including experience gathering and manipulating data from multiple sources

Language Skills:

  • Must be able to communicate effectively in written and spoken English in clear and concise manner

Mimimum Qualifications:

 

Experience:

 

At least 15 plus years of supporting a top level executive in a corporate environment. 

 

Education:

 

Two plus years of related postsecondary education or equivalent experience.

Knowledge generally acquired through 15 plus years of executive secretarial experience of increasing variety and/or complexity.

 

Preferred Qualifications:

 

Knowledge of the organization’s operations, organizational procedures and personnel. Demonstrated ability and temperament to work with sensitive information. Demonstrated interpersonal skills and proficiency in business vocabulary to effectively represent the executive and the company to outside parties. Demonstrated attention to detail and decision-making skills and ability to respond to high-pressure situations. Demonstrated time management skills to plan, manage and coordinate executive’s activities and major functions.

 

Physical Requirements:

 

Standing, sitting, walking, speaking, listening, bending, reaching, pushing, pulling, lifting, grasping and manipulating tools, typing, using peripheral computer tools.  May be required to lift up to 25 pounds.
